Getting paid

Groomr takes card payments from your clients through Stripe. Connect your Stripe account once and you can take cards at checkout, use a card reader, and send invoices clients can pay online. Cash works without any setup.

Ask Groomr

“Check out Max”

Groomr finds the appointment, builds the sale and opens checkout on it. It tells you the total and that nothing has been charged yet. You take the payment yourself, in checkout.

Groomr can’t connect Stripe for you, take a card payment or give a refund. It can answer questions about how payments work, using this page.

Or do it yourself

Connect Stripe

  1. Go to Settings → Commerce → Payments.
  2. Click the Stripe row to open it.
  3. Click Connect Stripe account. Groomr sends you to Stripe.
  4. In Stripe, add your business and bank details, then finish the steps Stripe asks for.
  5. Stripe sends you back to Payments, which shows “Stripe account connected successfully.”

Have your business details and the bank account you want to be paid into ready before you start.

The Stripe row tells you where you stand:

The row showsWhat it means
”Cards and readers · not connected”Stripe isn’t connected yet
Connected and “Cards and readers · taking payments at checkout”You’re ready to take cards
Action required and “Connected, but not yet able to charge”Stripe needs more from you. Finish any verification and business details in Stripe, or click Connect Stripe account again to pick up where you left off

Take a payment

  1. On the Schedule, click Checkout on a finished appointment.
  2. On Review & pay, choose a tip: No tip, 15%, 20% or Other.
  3. Pick how the client pays:
OptionWhat happensNeeds Stripe?
CardOpens a secure payment form for the cardYes
Card readerPick your reader, click Charge, and the client taps, inserts or swipesYes
CashWorks out the changeNo
Send an invoiceSends the client an invoice by text or emailNo, but see below

Card reader finds the internet card readers registered to your Stripe account. There is no screen in Groomr for adding a reader.

Invoices go out with or without Stripe. With Stripe connected, the invoice has a Pay button and the client can add a tip as they pay. Without Stripe there is no Pay button, and the invoice asks the client to pay in person or contact you.

Refund a sale

Refunds are part of the Point of Sale add-on.

  1. Open Point of Sale and click History.
  2. Pick the sale and click Refund Transaction.
  3. Add a reason if you like, then click Process Refund.

This refunds the whole sale and returns any products to inventory. A card payment goes back to the client’s card through Stripe. A cash sale is recorded as cash handed back. Refunds you make in Stripe show up in Groomr too.

See payouts or change your bank account

Groomr doesn’t show payouts. In Settings → Commerce → Payments, open the Stripe row and click Manage in Stripe. Stripe opens in a new tab, where you can see payouts and your bank details.

Good to know

  • Only the owner can connect, disconnect or view Stripe by default. The owner can give other roles View Payment Processors or Manage Payment Processors under Team and roles. Until Stripe is connected, anyone who can’t connect it sees a note at checkout telling them to ask the business owner.
  • Only the owner can give refunds by default. Refund Payments can be given to other roles the same way.
  • Stripe sets its own processing fees. Groomr doesn’t show them. Check your Stripe account for your rates. Groomr doesn’t add a fee of its own to card payments.
  • Disconnecting stops card payments. The Card and Card reader options leave checkout, and invoices lose their Pay button. If you connect again later, Groomr starts a new Stripe account.
  • Sales tax is added at checkout as you set it in Tax.
  • Cancellation and no-show fees aren’t charged automatically yet. See Cancellation policy.
  • Payments you take show up in your books. See Bookkeeping.
