How Groomr works

How Groomr works

Most grooming software is a set of screens. To get something done, you find the right screen, then the right button, then fill in the form in the order it asks.

Groomr works the other way around. You tell Groomr, your assistant, what you want, in your own words. It does the job, or asks for whatever is missing, and shows you what it did.

Everything else in this help center builds on that idea, so it is worth a few minutes to understand it.

Two halves: the assistant and the profiles

The assistant is the conversation. You type (or speak) to Groomr the way you would to someone at the front desk.

The profiles are the records it works from: a profile for every client, pet and appointment, plus your services, prices, team and hours. When Groomr books a groom, it writes to an appointment. When you tell it a dog is nervous with clippers, it notes that on the pet’s profile.

You can open any profile at any time to check it or change it yourself. The profiles are always the source of truth. Groomr is a faster way to read and update them, not a replacement for them.

What that looks like

You want to…Ask GroomrOr do it yourself
See tomorrow”Who’s coming in tomorrow?”Open the Schedule and pick the day
Book a groom”Book Max for a full groom next Tuesday morning”New appointment, then client, pet, service, groomer, time
Move a visit”Move Bella to Thursday afternoon”Find the appointment, open it, pick a new time
Change a price”Make nail trims $20”Settings, Services & Pricing, the service, its price
Close for a day”We’re closed on the 24th”Settings, Schedule, add a closed day
Record a vaccineSend a photo of the vaccine cardOpen the pet, add the vaccine and its expiry

Both columns end in the same place: the same appointment, the same price, the same pet record. Use whichever is quicker at the moment.

How it differs from point-and-click

You don’t hunt for the screen. You don’t need to know where a setting lives or what it is called. Describe what you want and Groomr finds it.

One request can cover several screens. “Book Max for Tuesday and give him the same cut as last time” touches the schedule, the client, the pet and his history. You say it once.

It asks only for what’s missing. A form asks for every field, every time. If you say “book Max for Tuesday”, Groomr already knows Max’s owner, size and usual service, and asks only for what it can’t work out, such as the time.

It remembers. Tell Groomr “Daisy hates the dryer” once and it knows the next time Daisy is booked, and so does everyone on your team. You can see what Groomr remembers, and correct or remove it, under Settings → Groomr AI → Memory. Memory is part of paid plans.

It speaks up first. Each morning Groomr can give you a short brief of the day, and it can tell you about things that need attention, such as a vaccine about to expire or a regular who is overdue for a groom. You choose what it tells you about under Settings → Groomr AI → Proactivity.

Why you can trust it

It asks before anything consequential. Deleting a client, a pet or an appointment, and other actions that are hard to undo, wait for you to approve them. Groomr shows you what it is about to do, and nothing happens until you say yes.

It shows its work. When Groomr books or changes something, it shows you the result as a card you can open, so you can check the actual record rather than take its word for it.

It can be wrong, and that’s easy to fix. Groomr can misread a name or a date. Because everything lands in a profile you can open, a mistake is one click from being corrected, by you or by telling Groomr.

When to click instead

The screens are still there, and some jobs are easier by hand:

  • Taking in your whole day at a glance. The Schedule shows every appointment at once.
  • Dragging things around. Moving an appointment to a different groomer or time on the Schedule.
  • Browsing. Scrolling your client list, or flipping through a pet’s photos.

Every task page in this help center shows both ways: Ask Groomr first, then Or do it yourself.

Where to start

Ask Groomr “what can you do?” It will tell you, for your business and your role.
