Team and roles

The Team page lists everyone on your team and the role each person has. A role decides what someone can do in Groomr. Whether they can be booked for grooms is a separate setting for each person.

Ask Groomr

“Pay Riley 50% commission”

Groomr sets or updates that person’s pay, such as an hourly rate, a salary, a commission or booth rent.

Inviting people and changing what a role can do are done by hand, as below.

Or do it yourself

Invite someone

  1. Go to Settings → Business → Team. The Members tab opens.
  2. Click Invite team member.
  3. Enter their Email and, optionally, their Name.
  4. Choose a Role.
  5. Optionally add a Position, such as Groomer, Bather or Receptionist. This is only a job title. It doesn’t change what they can do.
  6. Leave Can be booked on if they groom. Turn it off for someone who doesn’t, such as a receptionist or a bookkeeper.
  7. Click Send Invitation.

Until they accept, their row shows Invited.

Change someone’s details

  1. On the Members tab, click the person’s row.
  2. Change their Position, the Services they’re allowed to do, whether they Can be booked, or their pay under Compensation & tax.
  3. Click Save changes.

From the same place you can Deactivate or Reactivate someone. For an invitation that hasn’t been accepted, hold Revoke invitation.

Create or edit a role

  1. Go to Settings → Business → Team and open the Roles tab.
  2. Click Create role, or click a role to edit it.
  3. Enter a Role name and an optional Description.
  4. Turn on the Permissions the role should have.
  5. Click Create Role, or Update Role for an existing one.

To delete a role, open it and hold Delete role. If people have that role, the button shows how many.

The default roles

Every business starts with these roles. You can edit all of them except Owner.

RoleWhat it can do
OwnerEverything, including billing. Can’t be edited or deleted.
AdminRuns the business day to day: clients, appointments, prices, the Inbox, everyone’s schedule (including overriding time off), inviting and editing team members, and settings. Can see roles but not change them.
ManagerClients, appointments and everyone’s schedule. Can see prices, the Inbox, the team and settings, but can’t change prices, settings or who is on the team.
Front DeskBooks and manages appointments for everyone. Sees every schedule, edits only their own hours and time off. Can see prices, the Inbox and settings.
EmployeeWorks the schedule. Sees everyone’s schedule, edits only their own hours and time off. Can see prices and settings.
SubcontractorLimited access. Only sees and edits their own schedule and appointments.

What Groomr will do for each person follows their role too. For example, bookkeeping is limited to Owner and Admin, and Front Desk doesn’t get marketing or analytics.

Good to know

  • Booking belongs to the person, not the role. Two people with the same role can differ: one groomer can be booked and a receptionist with the same role can’t. Use Can be booked for each person.
  • Who can manage the team: seeing the team needs team.view, inviting needs team.invite, and changing someone needs team.edit. By default the Owner and Admin can invite and edit; the Manager can only view. Creating and changing roles needs roles.manage, which only the Owner has by default.
  • There’s no charge per team member. Adding people doesn’t add to your bill.
  • A team needs a paid plan. Team and role features need Pay-as-you-go (a card on file) or Groomr Pro. On the Free plan, it’s just you.
