Client profiles

A client’s profile holds everything about the person: how to reach them, where they live, their pets, and your messages with them. It opens as a panel beside your conversation.

Ask Groomr

“Add a new client: Jane Doe, (859) 555-1234, with Rex, a 14 lb Poodle”

Groomr adds the client and, if you name one, their first pet. It needs at least a name. If the phone or email already belongs to a client, it links to that client instead of making a duplicate, and tells you so.

“Jane Doe moved to 12 Oak Street, Lexington KY 40502. She’d rather we text her.”

Groomr updates only what you mention. It can change a client’s email, phone, address, notes about the address, whether they come to you or you go to them, how they like to be contacted, whether they get reminders and promotions, where they heard about you, and general notes.

“Delete the client Jane Doe”

Groomr finds the client and asks you to approve before anything is deleted. Deleting a client also deletes their pets. See Approvals.

Or do it yourself

Open a profile

  1. Open the Directory and select the client.

  2. The profile opens with buttons for Message, Book and Edit client, then these sections in one scroll:

    SectionWhat’s in it
InfoContact (phone, email, Client since), Address, Upcoming appointments, and What Groomr remembers
PetsEach of the client’s pets. Select one to open the pet’s profile.
MessagesYour latest texts and emails with the client, and a link to the full conversation
AccountMessaging consent and any account details you collect

Get directions to a mobile client

  1. On the client’s profile, find Address.
  2. Select Directions. A map opens beside the profile with the route.

Under the address you also see their Arrival notes and roughly how long the drive is. Clients who come to you show Comes to the salon — no drive. instead, with no Directions.

If the address can’t be found on a map, the profile says Couldn’t place this address on a map, so there’s no route to it. Select Fix to correct it.

Edit a client

  1. On the client’s profile, select Edit client.
  2. Open the section you want to change:
    • Contact: First name, Last name, Phone, Email
    • Address: Street, City, State, ZIP
    • Pets: the client’s pets, and a way to add one
    • Consent: Preferred contact, Appointment reminders, Promotions
    • Service preferences: Preferred groomer
  3. Select Save changes.

Add a pet to a client

  1. Select Edit client, then open Pets. (Or, in the profile’s Pets section, select Add a pet.)
  2. Type the name in New pet’s name.
  3. Select Add a pet. The new pet’s own details open next.

Good to know

  • A client needs a first name. Everything else is optional.
  • Preferred groomer only appears when you have two or more groomers who can be booked. Bookings go to that groomer when they’re free, and rebooking texts name them.
  • Appointment reminders and Promotions are separate switches, because agreeing to one doesn’t mean agreeing to the other.
  • What Groomr remembers shows facts Groomr has picked up about the client. Select Forget to remove one. Memory is part of paid plans. See What Groomr remembers.
  • Permissions: viewing needs View Clients (clients.view), adding needs Create Clients (clients.create), and changing needs Edit Clients (clients.edit). Every default role has all three except Subcontractor, which can only view.
